Approve, publish and delete a template

3 min read

A template version is rolled out only after a second person has reviewed it. You request approval, an approver approves the version or sends it back, and you publish it. Deleting a template detaches the boards it governs.

i
Templates are part of the Advanced edition (Standard and Advanced editions). Create a template first: Templates. Roll a published version out: Roll out a template.

Approve and publish #

A version moves from Draft to Pending approval, Approved and Published. Publishing a newer version marks the old one Retired. The template’s Board owner (whoever created it) acts in the Review and publication card; an approver reviews there.

  1. On the template’s page, select Request approval. The state turns to “Pending approval”.
  2. An approver opens the template and selects Approve, with an optional Reason.
  3. Select Publish version 1. The flag says “Version 1 is now the published version.”

For example, Dana Whitfield requests approval of Northstar team flow version 1. Ellen Brooks, the site’s template approver, opens it and selects Approve. Dana then selects Publish version 1, and the template can be rolled out.

An approver is a Jira administrator, or someone the site lists in Administration → Governance (Governance). By default the author can’t approve their own version.

To send a version back, the approver selects Request changes and must say what has to change. Withdraw the request takes a pending version back so you can edit it. Edit is held while a request is pending.

Delete a template #

Select Delete template. “Delete Northstar team flow?” removes the template and its versions.

  • The dialog lists the boards you can see that the template governs. If there are any, select Detach every governed board from this template. Each board keeps every setting and stops carrying the template’s rules.
  • Enter a Reason for the audit trail if you want one.
  • A rollout that hasn’t finished blocks the delete. Wait, or ask whoever started it or a Jira administrator to cancel it under Administration → Imports and jobs.
  • If a governed board isn’t yours, the dialog names it and holds the delete: its Board owner or a Jira administrator detaches it.
  • One delete detaches up to 50 boards. With more, the dialog reads “More boards are governed than one delete can detach. Detach them in the rollouts that applied them.”: detach them in those rollouts first.
  • Every dialog also says “Objects you cannot see may lose their link to this template, and some may stop working until someone edits them.” The app names none of them.

Recorded rollouts stay readable. This cannot be undone.

If something looks off #

  • “This site requires an approver other than the template’s author, and you are not a site approver. Someone else has to review this version.”: ask another approver to review it.
  • “A rollout of this template has not finished. A template cannot be deleted until its rollouts finish or are canceled.”: let the rollout finish, or have it canceled under Administration → Imports and jobs.
  • “Someone else already started deleting this template, and that deletion is still running. Nothing more needs doing.”: wait; that deletion finishes by itself.
