What each person sees

3 min read

Advanced Boards shows each person only the work that Jira already lets them read. Two things decide what you see and do: your own Jira permissions, and the role you hold on each board.

Two keys: your Jira access and your board role #

Your Jira permissions decide which work items you see. Every count, chart and forecast covers only the work items you can read in Jira. Nothing hidden is counted, not even as a number.

Your board role decides what you may do on one board. A board role never widens your Jira access. To open a board at all, you need a role on it, unless you are a Jira administrator. The person who creates a board becomes its Board owner. A Board owner gives roles to people and groups in Configure → Access (Board access and roles).

What each role can do #

The roles are Viewer, Member and Board owner. Board access and roles lists what each may do.

A Member’s changes reach Jira as that person, under their own Jira rights.

A Viewer can open each group of Configure, and a group they cannot change says: “You can read this configuration but not change it. A board owner can.” Only a Board owner sees which spaces, filter or query the board reads.

Two people can see different numbers #

Ellen Brooks is a Viewer on Checkout. Dana Whitfield is its Board owner. If Jira lets Dana read more work items than Ellen, Dana’s WIP, cycle times and forecasts count more work. Neither is wrong: each figure is true for the person who reads it.

A stakeholder view, or on the Advanced edition a stakeholder pack, works the same way: it is computed for each person who opens it, and sharing it gives nobody new access.

Read “Permissions as of” #

Every analytical screen carries a context strip with the time your access was last checked. The figures follow the access you had at that time. Because they are counted over what you can read, two people read different counts. Data as of, permissions and coverage explains Permissions as of and the coverage note.

Saved results are checked again #

A saved forecast run, an export or an alert’s evidence is checked against your access each time you open it. If it counted a work item you can’t read now, none of it is shown.

Administrators #

Only Jira site administrators see Administration in the app’s navigation. A Jira administrator holds the Board owner role on every board, even without a role in its access list. Their figures still cover only the work items they can read.

Who may create a board is set in Administration → “Permissions and access”. By default, every licensed user on the site may create one.

Messages you may meet #

  • “You can’t see this board”: the board does not exist, or your Jira access or your role does not cover it. The app never says which. Ask a Board owner for access.
  • “Your role on this board does not allow this”: you keep the board, but the change needs a higher role, so ask a Board owner to raise yours.
  • “Not shown with your current access”: what you can read now differs from what the result was computed over, so read it again with your current access.
