Once a rule raises an alert, somebody takes it. You can acknowledge the alert, read the evidence behind it and apply the one action its rule proposes, as you, through the usual preview.
Acknowledge an alert #
Acknowledging records that somebody took the alert. It changes nothing in Jira. The rule’s owner or a Board owner can do it.
- Open the row menu and choose Acknowledge alert.
- Add Your note if you want one (optional, up to 255 characters).
- Select Acknowledge.
The note stays with the alert and in the audit trail. The cooldown starts at that moment. A repeat sighting before it ends raises no second alert.
Check the evidence #
Select View evidence to open What this alert measured. It holds two instants: “Data as of” is when the board’s data was read, and “Evaluated” is when the rule’s pass measured it.
- Subject: the work item the alert is about, or the agreement and its scope.
- Measured facts: the figures the rule compared, such as the work item’s age.
- Measure against the agreed maximum at the time: for an agreement, its count beside the maximum it had then.
- Contributors: the work items that made up the alert, with their count, such as “Contributors (3)”.
- Comparable past work items: for a forecast or a usual wait, the past work items it was compared with. A long list reads “The first N of these M work items are listed.”
If the evidence counted a work item you can’t read now, the app shows none of it. Select Calculate with your access to check the rule’s condition over the work you can see. The answer reads one of these:
- “Over the work you can see, this work item meets the rule’s condition now.”: the condition holds for you, with the facts below it.
- “Over the work you can see, this work item does not meet the rule’s condition now.”: the condition does not hold over your reach.
- “Over the work you can see, no finish could be stated for this work item from comparable past work, so it was not judged.”: there was too little comparable work to judge it.
For a handoff alert whose value stream includes a board you can’t see, it reads “This alert’s value stream includes boards you cannot see, so nothing can be calculated with your access.” For an agreement, select See this agreement on Work with your access. “Nothing of this calculation is stored, and the alert stays as its rule’s owner measured it.” After Calculate with your access, “The rule no longer names this kind of alert, so there is nothing to calculate.” means the rule was edited since.
When the evidence is gone, one of these stands in place of the figures:
- Past its retention period: “The evidence of this alert has passed its retention period. The alert row stands; its measured detail is gone and no number is shown in its place.”
- Damaged: “The evidence of this alert is damaged and can’t be opened. The alert row stands; no number is shown in its place.”
Apply the proposed action #
A Member of the board can apply the action a rule proposes. The change is made as you, through the usual preview and confirmation.
- Open the row menu and choose Apply proposed action.
- Read the dialog Apply the proposed action. A move shows Proposed target column and the move’s own preview: only the transitions that land the work item in that column, with any fields the transition needs. An assignment shows Assignee now and Proposed assignee.
- Select Confirm transition for a move, or Confirm assignment.
For an assignment, the app changes the assignee and nothing else. The outcomes of a move are those of the Work board: Move, edit and create work items. If you are the rule’s owner or a Board owner, the Acknowledge this alert dialog opens right after the change and says “The action you applied is recorded with this acknowledgment.” Add a note and select Acknowledge, or close it. If you are a Member, the alert stays open until the rule’s owner or a Board owner acknowledges it. If Jira gives no answer, the dialog says the outcome is unknown. Select Check what happened before you try again.
After Confirm assignment, the dialog reads one of these outcomes:
- “Assignee changed”: Jira confirmed the change.
- “Jira refused the assignment”: nothing was written; take a new preview.
- “Jira holds the proposed assignee”: a reread found the person assigned, so it is recorded as observed.
- “This needs a look in Jira”: a reread did not find the person assigned, and nothing is sent again.
- “The outcome is unknown”: Jira did not confirm it, so it may or may not have happened.
- “Nothing was sent” or “The assignment is on its way”: the change never left, or no answer has come yet.
For example, an alert of Aging past the SLE on Payments proposes Dana Whitfield as the accountable person. Marcus Reyes, a Member, chooses Apply proposed action, reads “Proposed assignee: Dana Whitfield” and selects Confirm assignment. The dialog reads “Assignee changed”. The alert stays open until Dana acknowledges it.
On Standard, only View evidence remains in the row menu.
If something looks off #
- “Only an open alert can be acknowledged.”: the alert is already acknowledged or resolved.
- “Open this alert’s evidence to acknowledge it: this list did not check that evidence.”: choose View evidence, then Acknowledge alert in it.
- “The evidence of this alert is not available to you.”: ask the rule’s owner or a Board owner to acknowledge it.
- “This alert was not acknowledged” with “Its evidence counted a work item you can’t read now. None of it is shown.”: select Read the alerts again; the alert’s row then shows what you can do.
- “This alert was not acknowledged” with “Its evidence is no longer kept.”: the evidence was removed after the page read it; select Read the alerts again.
- “This rule proposes no action.”: edit the rule to add a proposed action.
- “The proposal was applied already.”: nothing more is needed; the rule’s owner or a Board owner acknowledges the alert.
- “The proposal is paused.”: the alert’s row reads “The proposal is paused:” and the reason, so fix that reason on the rule.
- “The alert is no longer open.”: only an open alert takes a proposed action.
- “An agreement alert names no single work item to apply a proposal to.”: act on the work items from the Work board.
- “Jira offers you no transition to this column for this work item.”: no transition lands in the proposed column, so Confirm transition is held. Select Open in Jira to move the work item there.
- “Jira does not offer Dana Whitfield as an assignee of this work item to you, so nothing can be sent.”: assign the work item in Jira, or ask a Jira administrator for the assign permission in that space.
- “You may not assign this work item in Jira, so nothing can be sent.”: ask a person who may assign it in Jira.
- “Dana Whitfield is the assignee already, so there is nothing to send.”: nothing more is needed in Jira; the rule’s owner or a Board owner acknowledges the alert.
- “Jira did not name this person for you, so nothing can be sent.”: ask a Board owner to propose a person you can see.
