Manage a portfolio

A portfolio’s Settings tab is where its manager renames it, changes its member boards and picks the board the others are compared against. It is also where the portfolio is deleted.

Portfolios are part of the Advanced edition. On Standard, a manager can still delete a portfolio here, but cannot change it. See Standard and Advanced editions. To create a portfolio and read its numbers, see Portfolios.

Who manages a portfolio #

A Board owner of every member board, or a site administrator, manages the portfolio. The app calls this person the portfolio’s owner. Only a manager sees Settings. Everyone else reads the other tabs.

Change the name and the boards #

Select Portfolios, choose the portfolio, then select Settings. It holds three cards.

  • Name: change the Portfolio name and select Save.
  • Member boards: each row shows the board, Your role and Reference. The row menu offers Move board up, Move board down, Set as reference board and Remove from portfolio.
  • Value streams: see Value streams.

Add board lists only boards you own. A portfolio holds up to 25 boards.

Remove a board #

  1. In Member boards, open the board’s row menu and choose Remove from portfolio.
  2. Read “Remove Checkout from Northstar rollout?”. If this is the reference board, choose the Next reference board.
  3. Enter a Reason (kept in the audit trail) if you want one.
  4. Select Remove board.

The board’s work leaves the totals and the overlap list. The board, its configuration and its work items are not changed. This cannot be undone: add the board again to bring it back. A board a value stream names can’t be removed until you edit that stream.

For example, Dana Whitfield removes Payments from Northstar rollout. Unique portfolio WIP then counts only Checkout, Platform team and Release train. The Payments board itself keeps its own limits, history and work items.

Delete the portfolio #

Deleting a portfolio can’t be undone. Under Delete this portfolio, select Delete portfolio. It removes the value streams, the packs, and the scenarios built on it with their runs. The boards stay. A reason for the audit trail is optional.

If something looks off #

  • “A scenario forecast of this portfolio is still running. Delete the portfolio once that run has ended.”: wait for the run, then delete.
  • “A deleted board was taken out of this portfolio.”: save the portfolio in Settings to clear the notice.
  • “Someone else already started deleting this portfolio, and that deletion is still running. Nothing more needs doing.”: wait; the portfolio leaves your list when that deletion ends.
  • “A value stream of this portfolio names this board as a stage. Edit the value streams first, then remove the board.”: edit that value stream first (Value streams).
