The questions that come up most often, and what to do about each.
My colleagues see a warning instead of the data #
This is by far the most common one, and it has nothing to do with the dashboard.
Your viewers are seeing a yellow warning banner rather than work items because the Jira filter underneath isn’t shared with them. Gadgets read work items live from Jira as the person looking at the dashboard, so if Jira won’t give someone that saved filter, there is nothing to show them — no matter who built the advanced filter or who can open the dashboard.
The Selected filter card on that page shows you the current sharing rules and who owns the filter, so you can see who’s already covered and who to ask.
Full detail: Sharing the Jira filter your viewers need.
Two of us see different numbers on the same dashboard #
That’s expected, and nothing is broken. Sharing the Jira filter grants use of the saved search; Jira’s own project and work item permissions still apply on top. Two people who both have the filter shared can legitimately see different work items in the same gadget.
If a number looks wrong to one person and right to another, compare what each of them can see in Jira itself before looking for a fault in the dashboard.
My counters don’t add up to the total #
If you’re using Smart Counters, that’s correct behavior. A smart rule’s clauses are evaluated independently, so a work item matching two clauses is counted in both — the gadget says so underneath the row.
When you need a breakdown that sums honestly, use Advanced Filter Statistics instead. Its totals are measured over the work items themselves rather than by adding the column up, so a work item counted in two rows is still only one work item.
A gadget says “Configure this gadget” #
It hasn’t been set up yet. Edit the dashboard, select Configure on the gadget, and choose an advanced filter.
Save is greyed out and I can’t tell why #
Every gadget form prints the reason next to the disabled button — for example “Choose at least one value to measure before saving.” If you can’t see it, scroll the form; the message sits beside Save, not at the top.
A filter has disappeared from my library #
Three possibilities, in order of likelihood:
- It was archived. Filters archive themselves after 180 days with no edits and no gadget use. Check the Archive page in the left rail and select Reactivate. Opening a dashboard that uses it brings it back too.
- The Jira filter stopped being shared with you. You only see filters you administer, plus those built on Jira filters Jira lets you use. Starring a filter doesn’t change that.
- It was deleted. That’s permanent, and the only thing that frees its name for reuse.
The filter list says “Source access needed” or “Source details unavailable” #
These mean different things on purpose:
| What you see | What it means | What to do |
|---|---|---|
| Source access needed | Jira confirmed the saved filter isn’t shared with you | Ask its owner to share it |
| Source details unavailable | The request to Jira didn’t get through. Nothing is known about anyone’s access | Select Retry. No need to chase anybody |
Everything says “Advanced Filters is not licensed” #
The trial or subscription has lapsed. A Jira admin can check the status under Apps → Manage your apps. See Pricing and licensing.
I changed the Jira filter and now some controls return nothing #
Swapping the Jira filter underneath keeps everything you built on top — including controls, metrics and views that reference fields the new source doesn’t have. Those quietly stop matching rather than being removed.
Open the Overview section of the advanced filter; it tells you what needs attention.
Can I stop viewers changing what a gadget shows? #
Yes. Mark a queue as Static and it ignores the Controller entirely — useful for something that must always show the same thing, like an SLA breach list. Fixed order additionally stops viewers re-sorting by clicking a column. Both are set on the queue, in Views and queues.
A gadget says “1 value could not be read” #
Something arrived from a shared link or a preset that the app can no longer make sense of — a control that has since changed, or a term outside the grammar a number or date box accepts.
The control matches no work items rather than guessing at what you meant, and every gadget on that advanced filter says so. That is deliberate: showing the wrong rows would be worse than showing none.
Select Remove what cannot be applied to clear it — on the Controller, or on the gadget itself when no Controller uses that filter. Until you do, the state can’t be saved as a preset or copied as a link, and both will tell you why.
5, >5, 1:5, empty and !empty. Anything else is named at the field rather than passed to the gadgets.Still stuck? #
